Administrative assistant
Responsibilities:
· Creating and maintaining student demographic records that include name, contact information, and emergency contact information.
· Verification, scanning, and filing of all documents for each second-year student.
· Transmission of required student documentation to each clinical site at the commencement of each clinical rotation.
· Collection and filing of documents received per student for each rotation.
· Notifying clinical site of upcoming students.
· Telephone and email follow-up with new clinical sites procured by program clinical coordinators
· Tracking the completion of clinical site documentation including affiliation agreements.
· Organization and maintenance of documents for out-of-state clinical rotation sites.
· Printing, copying, sorting, and grading of seven different end-of-rotation exams per rotation.
· Printing, copying, and organizing PowerPoint slides, article, and other handouts for each callback session.
· Act as liaison between the PA program and the clinical sites such as notifying clinical sites of upcoming students and program requirements.
· Collect and organized data related to the maintenance of clinical year activities.
· Compliance tracking software and database entry, inspection of documents for errors, record keeping, and overall strong problem-solving and interpersonal skills
· Flexibility and team skills that are critical to the efficient workflow
· Participate as a member of the Physician Assistant Clinical Team and attend regular meetings
· Work collaboratively and independently with peers, faculty, and supervisors in the School and College is essential
· Oversee student and clinical faculty compliance for clinical placements
· Determines if all necessary paperwork has been submitted
· Carefully reviews submitted student documents against requirements
· Notify students and keep track of students who are missing requirements
· Assist with clinical placement requests
· Compiles all paperwork needed for facility affiliations
· Maintain and update extensive clinical sites contact lists
· Reply to all inquiries and general information requests with the accurate information
· Organize and schedule meetings and appointments
· Provide general support to students, faculty, and administrators
· Maintain profession decorum in communication with students, faculty, administrators, and other employees of the College
Responsibilities must include but are not limited to the above list.
Education Required:
· Bachelor's degree required. Master's degree preferred.
Experience and/or Skills Required:
· Three or more years of management experience, preferably in a learning center or similar operation.
· Demonstrated leadership, interpersonal, written, and oral communication, problem-solving, and organizational skills.
· Ability to work cooperatively with diverse constituents such as faculty, staff, and students.
· Ability to work in a fast-paced environment and juggle multiple tasks.
· Demonstrated evidence of detail-orientation, customer service orientation, and ability to work independently.
· Computer proficiency in MS Office, Outlook, Excel, and the Internet required.
